1. Who we are

This Privacy Policy explains how The Trustee for the Social Serve Trust, ABN 69 129 175 419, trading as Social Serve (Social Serve, we, us) collects, uses, discloses and protects personal information. We run social racquet sports events (tennis, padel and pickleball) with music, food and drink, both public events and private and corporate events, in Sydney, Australia.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and we send marketing in line with the Spam Act 2003 (Cth).

2. What we collect

Depending on how you deal with us, we may collect:

  • Contact details: name, email address, phone number, and company name and role (for corporate clients).

  • Ticketing and booking details: ticket type, order history, and attendee names. Payments are processed by our ticketing and payment providers. We do not store full card details.

  • Event information: waiver acceptance records, dietary or access requirements you choose to give us, and any incident or injury information if something happens at an event.

  • Age verification: we may check photo ID at the door to confirm you are 18 or over. We do not keep copies of your ID.

  • Photos and video: images and footage of you taken at our events.

  • Communications: emails, messages, enquiries, survey responses and social media interactions.

  • Website and device data: IP address, browser type, pages viewed and cookies or similar technologies, through our website and analytics tools.

We collect most of this directly from you. We may also receive it from our ticketing platform, a corporate client who books on behalf of their team, or publicly available sources such as your business profile.

3. Why we collect and use it

We use personal information to:

  • sell and deliver tickets and bookings, and run our events;

  • check age and manage entry, safety and responsible service of alcohol;

  • respond to enquiries, quote and manage private and corporate events;

  • manage incidents, insurance and legal obligations;

  • promote Social Serve through photos, video and social media;

  • send you news about future events and offers, where you have opted in or we are otherwise permitted to;

  • improve our events, website and services; and

  • meet our legal and regulatory obligations.

4. Marketing

We only send you marketing emails or messages if you have opted in (for example by ticking the optional box when buying a ticket) or where the law otherwise permits. Every marketing message includes an unsubscribe option, and you can also contact us at any time to opt out. Opting out of marketing does not stop essential messages about your ticket or booking.

5. Photos and video

We photograph and film at our events and may use that content on our website, social media, advertising and with our venue and sponsor partners. If you do not want to be photographed, tell a Social Serve team member at the event, or contact us afterwards and we will remove or blur identifiable images where reasonably possible.

6. Who we share it with

We may share personal information with:

  • our ticketing platform (currently Humanitix) and payment providers;

  • email, CRM, survey, website and analytics providers who help us operate;

  • venues, caterers, DJs, security and other contractors, only as needed to deliver an event;

  • insurers, professional advisers, and emergency services or medical providers if needed;

  • regulators or law enforcement where required by law.

We do not sell your personal information. We share attendee details with sponsors or partners only if you have agreed to it, or in aggregated form that does not identify you.

7. Overseas disclosure

Some of our service providers (for example cloud, email or analytics providers) may store or process data outside Australia, including in [COUNTRIES, e.g. the United States, New Zealand]. We take reasonable steps to make sure these providers handle your information securely and consistently with the Australian Privacy Principles.

8. Security and retention

We store personal information in password-protected systems and limit access to people who need it. We keep information only as long as we need it for the purposes above or to meet legal requirements, then delete or de-identify it. No online system is completely secure, so we cannot guarantee absolute security.

9. Cookies and analytics

Our website may use cookies and similar technologies to remember preferences and understand how the site is used. You can change your browser settings to refuse cookies, but some features may not work as a result.

10. Access, correction and complaints

You can ask to access or correct the personal information we hold about you, or ask us to delete it, by emailing info@socialserve.com.au. We will respond within a reasonable time, usually within 30 days, and may need to verify your identity first.

If you think we have breached your privacy, contact us first and we will investigate and reply. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

We may update this policy from time to time. The latest version will always be on our website with the date it was last updated.
